Helpful Hint: You should try to use your individual log in provided to you by the Academy Evaluation team. Since that link is individual to each coach the learner answers less questions which then cuts down on the time for each learner to “sign in”. If you have misplaced your individual link you can put in a ticket in the Academy ticket system and it will be resent to you.
Helpful Hint: It is recommended that you bookmark or add your individual link to your phone’s home screen for easy access. (Directions for this can be found at the end of the document)
Step 1: Find your individual link and click on it to open
the first page of the survey. It will automatically show which coach this link
is assigned to (it should be you) and will have today’s date pre-populated. (If
for some reason you have having a learner signed in later please make sure they
are changing the date to reflect the date of the actual coaching session.) They
must type in their first and last name and their email address. If this is for
some reason not working, make sure there is not a space after their name or
email address. Have them enter in their employee ID if they have one, this is
not a required field but is good information to have if they know it in case
there are other people at the county with similar names.
Step 2: As the learner scrolls down the page, they will see two more questions. Just ask them to pick the choice that best describes them.
Step 3: The learner will continue to scroll down to a
section that asks for their initials. They
can use their finger if you have a touch screen or you can use the mouse to
also sign. To submit their sign in survey they need to click the red arrow
button at the bottom right of the screen.
Step 4: They will be taken to the next screen which will ask
if the next person wants to do a sign in for the same coach or if they want to
start a new sign in, if they choose the top choice it will take them to a new
sign in sheet for the same coach, if they chose the bottom link then it will
take them to the general sign in link where they will get a new survey but will
have to answer some additional questions like choosing a coach.

Step 2: From the Academy for Professional Excellence home
page choose CWDS.
Step 3: From the CWDS Home Page go to the left column and choose “coaching”.
Step 4: From the coaching home page chose, “Coaching Sign In”.
Step 5: Type in password, “safety”.
Step 6: Fill out Sign In Survey
Step 7: Make sure your signature is legible to you.
Step 8: There will be an option once the learner submits the survey to enter another sign in for the same coach or start a new sign in.

Step 1:

· Scroll down to “Click here to access the Coaching Sign In”.

· Complete the sign in- survey.
Instructions on how to verify the Learner’s Sign In Surveys
Every coaching sign in survey must be verified by the coach. This can be done after the coaching session if there is time or at the end of the day. We ask that they be verified within 24 hours as this verification process is what triggers the satisfaction survey being sent.
Every time a learner completes a sign in an email gets sent to the coach. If this is not happening in a relatively quick time (within 10 minutes) please put in a ticket and let the PC Manager know.
The email will look like this:
Step 1: Click on the link. It will bring up the filled out
coaching survey so that you as the coach can verify that the learner has
entered in their information correctly. Once you have verified all the
information is correct you click the red arrow button at the end of the page.
Step 2: This will take you to the second page where you will fill out information. In this section you will choose the start and end time of the coaching session. The times are rounded up and down to the nearest hour or half an hour. You will choose the larger topic (most will be SOP). Last you will choose where the coaching session took place: Office, Telephone or Field (Please check with the PC Manager or County Consultant before doing Telephone coaching to ensure that your county contract allows it. When you are done with this page you will click the red arrow button on the bottom right corner of the page to move to the next page.
Step 3: Choose the region where the learner is assigned. You
may be seeing them at one office, but they are assigned to another.
Step 4: You then choose between 1-3 learning objectives that
you covered during your coaching session. DO NOT CHOOSE MORE THAN 3!!!!! This
leads to bad data collection as it does not give us a sense of what you really
focused on and for each learning objective that you choose the learner is going
to rate themselves on the sat survey on how they believe they improved. If you
are giving them more than 3 learning objectives, they are less likely to fill
out this section and/or give it the time we would like for thoughtful
reflection. They are listed in alphabetical order.
Step 5: After you are done with the verification you will
get a verification email to let you know that you have finished the process.
This has triggered an automatic email to the learner with their end of delivery
survey and this information is not available to you in your coaching data
dashboard.
Step 6 Learner: Here is what the email looks like that the learner receives.
Step 7 Learner: Here is what the first page of the survey looks like asking them to create a unique identifier.
Unique Identifier Talking Points:
We are asking that you generate a unique identifier code to use every time you attend and complete a satisfaction survey for one of Child Welfare Development Services (CWDS) workforce development deliveries. By doing this we will be able gather more data and potentially triangulate and connect that data in the future. This unique identifier will not be linked to any name or email through CWDS and therefore none of the data can be connected to a specific person but the data for that unique identifier will be linked as you move from workforce development delivery to another. Your participation is voluntary and much appreciated as this will allow us to observe patterns in learning and development that will inform how we can improve our services or how counties can enhance training and development for their employees.
Step 8 Learner: The learner fills out 9 scaling questions
Step 9 Learner: The learner does some self-rating on the learning objectives.
Step 10 Learner: Then there is some space for open ended responses.
